7 Strategies For Letter Writing.
1. Keep your letter Short and To The Point.
A typical letter page will hold 350 to 450 words. Try to
never exceed that amount of words or you take the risk of
losing your readers. Letters should be consise, factual,
and focused. Letters need to speak from your heart.
2. Outlining Your Letter Will Keep It Clear, Concise, and Logical
Before you start writing your letter make an brief point form
outline. Then you need to organize those points into a logical
progression, what comes first and then next for example. The
outline that you really need to use is introduction and purpose
of the letter, background and explanation, and then the summary
and conclusion. All your letters need these components.
3. Focus On The Needs
What information does your receipients need? If you are sending
out letters to a group of people that are intrested in what’s
on sale at your tire store, then don’t send them information on
sale item’s at the local candy store. Stay focuses and you will
keep your receipients reading your letters.
4. Appropriate Language Is A Must
Do not use technical terms and acronyms without explaining
them to your receipients. Use simple straight forward language,
for clarity and precision.
5. Short Sentences and Paragraphs
A paragraph should not exceed two or three sentences. It makes
the letter more readable. Keep your sentences as short as
possible and break the text into short paragraphs.
6. Review and Revise
After you have finished your letter read it out loud and see
if your letter flows. A letter that does not make sense will
cause your readers to toss your letter aside. Get the help of
a friend or associate to proof read your letter.
7. Check Spelling and Grammer.
Always check and recheck your spelling and grammer.
Run the final letter through a spelling and grammer checker.
Your readers will be inclined to not read letters from you
if they are sloppy.
